Your Transition
In a smaller environment, transition is simple, and can be simply a day-long process. In a larger environment, transition requires careful planning and we use a step-by-step process, as follows.
1. We manage the set up the technology infrastructure:
- We set up an internet VPN (virtual private network) connectivity between our delivery centre and your premises.
- You install firewalls to make this connectivity secure and free from intrusion. (We already have firewalls installed at our end).
- You need to have arrangements to have all incoming documents scanned and uploaded into a server, preferably in a document management system.
- We would test our ability to access your application systems and document management systems from our delivery centre. We would also test our ability to talk/chat with each other.
2. We design the workflow:
- We study and map all your processes, business rules, algorithms and measure current service levels
- We document the workflow for future (using the same processes), determine error handling routines, and escalation routines
- If you have a work-flow management system in place, you need to get the revised workflow and rules updated into the work flow management system. We can help.
3. We set up the dashboards:
- We agree on process metrics that we need to report on a daily, weekly or monthly basis.
- We set up an information process (delivered in spreadsheets or as digital dashboards accessible through private pages accessible with password in our corporate web site)
- Next, we need to manage the training process for our process executives to acquire competence.
4. We execute the transition in stages:
- Your executives work in your place with your processes and system (we watch)
- Our executives work in your place with your processes and systems (you watch)
- Our executives work in our centres with your processes and systems.
- If required, we recommend and implement improvements to your processes and systems.
At the completion of each stage, we collectively agree to progress to the next stage, or alternatively cycle back and repeat until it is right. We follow world-class project management practices.
